What we collect
| Data | What it is | Where it comes from |
|---|---|---|
| Account | Username, email address, and your first and last name if you give them. Your password is stored only as a salted hash. If you turn on two-factor sign-in we store its secret encrypted, along with recovery codes. SSH public keys and API keys you add. | You |
| Billing | Billing name and address, the country used to work out VAT, what you bought and when, and invoices. Card details are entered with Stripe and never reach our systems; we hold a Stripe customer reference. | You, Stripe |
| Your servers | Everything on a server you rent from us: files, worlds, databases, backups, console output, and the usernames of players who join. This is your content. We store it to run the service and only look at it to give support you asked for or to investigate abuse. | You and your players |
| Support | Tickets and emails you send us, and our replies. | You |
| Security records | The IP address and browser of each sign-in, and a log of actions taken on your account and servers (for example a password change or a file deletion) with the IP address they came from. You can see this log in your account. | Collected automatically |
| Site usage | Pages viewed, the page that referred you, approximate location from your IP address, and device and browser type. See Cookies below. | Collected automatically |
| Referrals | If you arrive through someone's referral link, the referral code, so it can be linked to your account when you register. | The link you followed |
Why we use it, and our legal basis
| Purpose | Legal basis |
|---|---|
| Creating your account, running your servers, taking payment, and answering support requests | Performance of our contract with you |
| Emails about your service: verification, password resets, invoices, renewal and expiry notices, security alerts, and replies to tickets | Performance of our contract with you |
| Keeping invoices and accounting records, and charging the right VAT | Legal obligation |
| Keeping accounts and the platform secure: sign-in records, activity logs, bot checks at sign-in and registration, and preventing fraud and abuse | Our legitimate interest in running a secure service |
| Measuring how the site is used without cookies, and recording sign-ups and purchases, so we can improve it and judge our advertising | Our legitimate interest in understanding and improving the service |
| Analytics that use cookies, and loading the Trustpilot widget | Your consent, which you can withdraw at any time |
We do not sell your personal data, and we do not use it for automated decisions that have a legal or similarly significant effect on you.
Who we share it with
We share personal data only with the companies that help us run PLAYERTICK, and only what each needs:
| Who | What for | What they receive |
|---|---|---|
| Stripe | Card payments, subscriptions and tax calculation | Your name, email, billing address and payment details |
| QuickFile | Accounting and invoicing | Invoice details: your name, what you bought and the amount |
| Google reCAPTCHA | Telling people from bots on the sign-in and registration pages | Your IP address and information about your browser and how you interact with those pages |
| Google Analytics | Site analytics, and recording purchases | With your consent: pages viewed and a cookie identifier. When a purchase, renewal or cancellation happens: the plan, the amount and a pseudonymous account identifier, sent from our servers |
| Trustpilot | Showing our review widget | With your consent: your IP address and browser details when the widget loads |
| Font Awesome | Serving icons | Your IP address and browser details when a page loads |
| Cloudflare | Delivering the website | Your IP address and browser details |

Our own analytics tool, Rybbit, runs on infrastructure we operate and its data is not shared with anyone.
We may also disclose data where the law requires it, to establish or defend legal claims, or as part of a sale or restructuring of the business, in which case we will tell you before your data moves to a new owner.
Where your data is held
Our account database and our London servers are in the United Kingdom. If you choose the Kansas City location, that server and its contents are held in the United States.
Some of the companies listed above process data outside the United Kingdom, mainly in the United States. Where they do, the transfer is covered by UK adequacy regulations or by contractual safeguards approved for the purpose, such as the International Data Transfer Agreement.
How long we keep it
- Account details: for as long as your account is open. Ask us to close it and we will delete them, apart from what the next points say we must keep.
- Invoices and payment records: six years after the end of the financial year they relate to, as UK tax law requires.
- Server files, databases and backups: until you delete them or the service ends. A service that is not renewed is terminated seven days after it expires and its data is permanently deleted.
- Support tickets, sign-in records and activity logs: for as long as your account is open.
- Analytics: Google Analytics data is kept for up to 14 months.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal data we hold about you;
- correct anything that is wrong or incomplete;
- delete your data, where we have no legal reason to keep it;
- restrict how we use it, or stop using it where we rely on legitimate interests;
- give you your data in a portable format;
- stop using cookies you previously accepted, which you can also do yourself in cookie settings.
Email [email protected] from the address on your account. We will reply within one month and there is no charge. You can change most account details yourself in your account settings.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.
Security
Passwords are stored as salted hashes, two-factor secrets are encrypted, connections to the site and panel use HTTPS, and you can protect your account with two-factor sign-in. Access to customer data is limited to staff who need it. No system is perfectly secure; if a breach affects your data and is likely to put you at risk, we will tell you and the ICO as the law requires.
Children
You must be at least 13 to have a PLAYERTICK account, and if you are under 18 you need a parent or guardian's permission. We do not knowingly collect data from children under 13. If you believe a child under 13 has an account, contact us and we will remove it.
Players on your server
If you run a server with us, you decide who plays on it and what plugins or mods record about them. For that data you are the controller and we act on your instructions as a processor. Players with questions about data held on a particular server should contact that server's owner.
Changes to this policy
When we change this policy we will update the date at the top of the page. If a change materially affects how we use your data we will email account holders before it takes effect.
